A meeting record can include participant list, recording, transcript, chat, shared documents, screen content, notes, decisions, action items, and later corrections. No one layer is perfect ground truth.

Transcription can mishear names, terms, accents, overlapping speech, and poor audio. It can omit chat, gestures, slides, private side discussions, and off-record context.

Review fields

Attendance must distinguish invited, joined, present for part, and decision authority.

A decision needs the actual choice, decision maker, scope, conditions, effective time, and supporting source segment.

An action needs an owner who accepted it, exact task, deadline if explicitly stated, dependency, and completion evidence.

Open questions, uncertainty, dissent, and rejected alternatives must not be rewritten as consensus.

Sensitive material needs a permitted audience, retention, correction, and deletion path.

Current product boundaries

Microsoft Teams recording and transcription behavior depends on separate meeting, event, and call policies. Intelligent recap and Copilot depend on licensing and transcription settings.

Slack huddle notes notify participants, use real-time conversation and thread messages, and produce a canvas with notes and embedded transcript. Slack states that anyone with access to the channel or direct message can view the note canvas.

Authority rule

AI notes may propose a record. A named human approver must verify consequential decisions and actions before the notes create work, governance evidence, or organizational memory.
