A company-document assistant should begin with an approved question, not a broad promise to understand the business.

The pilot record needs a named owner, authorized users, a low-consequence task, a documented baseline, an approved product and account, an allowed data class, a bounded source set, source owners and versions, a representative test set, citation-inspection rules, an accountable reviewer, unacceptable failures, retention and deletion behavior, incident handling, and an exit decision.

The test set should include known answers, absent answers, conflicting documents, superseded versions, exceptions, tables, scans, ambiguous terms, and requests that should be declined. Success means the system helps a qualified reviewer reach accepted work with less total effort and no unacceptable failure. It does not mean the system produced fluent summaries.

For Gemini Notebook, current terms vary by account context. Feedback behavior can affect associated content for personal accounts, while qualifying Workspace and Education contexts have different review and training statements. The product can also interact with Gemini Apps, where grounding and activity behavior differ. Every pilot must verify the exact tier and route in use.
