Role-Specific Meeting Recap Research Note

A useful meeting record has two layers. The shared layer preserves agreed facts, decisions, evidence, commitments, owners, and unresolved questions. A role-specific layer selects the context each participant needs for the next decision without changing the shared record.

Microsoft researchers studying an LLM-powered recap system found that fixed-length summaries do not satisfy every recap need. Their 2023 recap study compared highlights with structured hierarchical minutes and reported value in different contexts. The study was small, with seven users, so it supports the need for multiple views rather than a universal product claim.

Recent research on reader-focused meeting summarization makes the reader's information need an explicit input. Earlier query-focused meeting summarization similarly treats the question as part of the summarization problem.

The durable design rule is to personalize selection and framing, not reality. A salesperson, buyer, engineer, and executive can receive different next-context views while sharing one decision record.
