Shared truth

The team system owns the commitment that colleagues depend on: outcome, owner, due date, dependency, public status, decision, and relevant project evidence.

Personal execution

The personal system may hold private reminders, ordering, focus notes, and the next physical action. It should point back to the shared record rather than copy sensitive or authoritative content.

Privacy boundary

Personal does not mean exempt from employer policy, records duties, discovery, security, or retention. Shared does not mean every private prioritization label should be visible.

Synchronization

Prefer a simple link and review rhythm over fragile two-way duplication. Update the shared record when the commitment, dependency, risk, or status changes.

Absence test

If the owner is unavailable, the team should still understand the commitment and current status. If the personal system disappears, the team record must remain sufficient.

Access test

Review who can see a workspace, Space, Folder, List, project, task, calendar, comment, attachment, and export. Current vendor defaults and permissions require account-level verification.
