A personal task system needs a low-friction inbox, a clarification decision, a small set of destinations, a calendar boundary, project support, a review rhythm, and an archive or deletion path.

Clarification

Each captured item becomes a next action, multi-step project, time-specific calendar commitment, delegated or waiting item, reference, someday item, or deletion. A vague topic is not yet a task.

Calendar boundary

The calendar owns events and work that must occur at a specific time. The task system owns available work and reminders. Scheduling every possible task creates a brittle calendar; leaving every commitment undated creates an invisible backlog.

Review

A weekly review clears the inbox, checks projects, follows waiting items, revisits future work, removes stale commitments, and chooses a credible near-term set. Daily review should be lighter.

Measurement

Measure missed commitments, duplicate entries, stale items, review time, and useful completion. Inbox zero and task zero are optional interface states, not evidence that the right work was done.
