Requirements before candidates

Record capture surfaces, platforms, offline needs, recurrence, reminders, calendar behavior, search, project depth, collaboration, accessibility, privacy, export, support, cost, and exit.

Elimination gates

Reject a product that fails a required platform, workplace policy, data, accessibility, export, or budget gate. Do not let optional features compensate for a failed boundary.

Trial

Test the same small real workload in no more than two candidates. Include quick capture, recurrence, rescheduling, review, search, reminders, calendar behavior, completion, export, downgrade, and recovery.

Current examples

Todoist currently documents Google and Outlook calendar integration, task-to-event syncing, permission requirements, recurrence limitations, and deletion behavior. TickTick currently presents task, calendar, reminder, focus, habit, and collaboration features. ClickUp currently documents a deeper Workspace, Space, Folder, List, task, and subtask hierarchy aimed at shared work.

Decision

Choose the simplest tool that passes the required jobs with acceptable friction. Preserve an export and a written exit plan. Current vendor claims require publication-day review and an account-level test.
